Hilton Clearwater Beach Resort & Spa is looking for a Sales Administrative Assistant Reports to: Director of Sales & Marketing
Basic Purpose: Assist Director of Sales & Marketing and all sales managers by performing outlined administrative duties relating to guest satisfaction, internal/external hotel communications and overall sales efforts.
Essential Functions: - Answering phones and ensuring all inquiries are handled with hospitality, accurately, timely and in a professional manner.
- Type correspondence, proposals, prepare weekly and monthly reports and forms as well as prepare simple written correspondences.
- Prepare sales contracts within 24 hours of receiving original, using standard contract format set-up in PC.
- Create new files and monitor trace files in accordance with Hilton SOP's.
- Assist sales managers with any sales trip preparations, any and all group needs, i.e. rooming lists, group pick up reports and requested reports for group room blocks and customer information.
- Assist sales manager on creative projects, site alerts, site inspections and special event invitations.
- Maintain timely and effective paper flow and communications within the sales area.
- Commissions and Rebates submissions.
- Log Deposits received, Invoice checkbook entries, Weekly Staples Order, Event updates and Dropbox management.
- Assign leads and check sales admin emails throughout the day to place leads with proper salesperson
Non-Essential Functions: - Assist guest with changes and special requests in person, as needed.
- Input reservation directly to Hilton
Knowledge and Skills: Education: High School diploma or vocational administrative experience of two years or more.
Experience: Previous administrative experience preferred
Skills and Abilities: Ability to type 50 words per minute. Proficient in Word, Excel and hotel Delphi knowledge is preferred. Alphabetizing, grammar and punctuation are critical. Stand business letter and communication formats. Strong hospitality and interactive people skills a must.
Hours Required: 40 hours over a 5-day period; typically, Monday through Friday; days and times may vary based on need.
Physical Job Requirements: - Repeated bending and kneeling required while filing

Experience: - Sales: 2 years (Preferred)
