Adecco is assisting a local client in Fremont, Ca. We are looking for great Office Admin. As a receptionist and scheduling coordinator, your role is crucial in maintaining smooth operations and ensuring effective communication within the organization. Here's a breakdown of key responsibilities typically associated with this position:
Receptionist Responsibilities:
  1. Greeting and Directing Visitors: You will be the first point of contact for visitors, clients, and employees entering the office. Welcoming them warmly and directing them to the appropriate person or department is essential.
  2. Answering and Forwarding Calls: Managing incoming calls and forwarding them to the relevant personnel or taking messages accurately and promptly.
  3. Managing Mail and Deliveries: Sorting and distributing incoming mail, packages, and deliveries to the appropriate departments or individuals.
  4. Maintaining Reception Area: Ensuring the reception area is tidy and presentable, with all necessary stationery and materials stocked.
  5. Scheduling Appointments: Booking appointments and managing calendars for meetings, conferences, and other events. This involves coordinating with both internal staff and external clients.
Scheduling Coordinator Responsibilities:
  1. Managing Schedules: Maintaining and updating schedules for candidate interviews using scheduling software or calendars.
  2. Coordination: Ensuring that schedules align with the availability of key personnel and resources, making adjustments as necessary.
  3. Communications: Liaising with clients, customers, and employees to confirm appointments and resolve scheduling conflicts.
  4. Documentation: Keeping detailed records of appointments, meetings, and cancellations. This may include preparing reports or summaries as needed.
  5. Problem Solving: Addressing scheduling conflicts or issues that may arise, finding alternative solutions to accommodate all parties involved.

Pay Details: $23.00 to $28.00 per hour
