Adecco is assisting a local client in Fremont, Ca. We are looking for great Office Admin. As a receptionist and scheduling coordinator, your role is crucial in maintaining smooth operations and ensuring effective communication within the organization. Here's a breakdown of key responsibilities typically associated with this position:
Receptionist Responsibilities: - Greeting and Directing Visitors: You will be the first point of contact for visitors, clients, and employees entering the office. Welcoming them warmly and directing them to the appropriate person or department is essential.
- Answering and Forwarding Calls: Managing incoming calls and forwarding them to the relevant personnel or taking messages accurately and promptly.
- Managing Mail and Deliveries: Sorting and distributing incoming mail, packages, and deliveries to the appropriate departments or individuals.
- Maintaining Reception Area: Ensuring the reception area is tidy and presentable, with all necessary stationery and materials stocked.
- Scheduling Appointments: Booking appointments and managing calendars for meetings, conferences, and other events. This involves coordinating with both internal staff and external clients.
Scheduling Coordinator Responsibilities: - Managing Schedules: Maintaining and updating schedules for candidate interviews using scheduling software or calendars.
- Coordination: Ensuring that schedules align with the availability of key personnel and resources, making adjustments as necessary.
- Communications: Liaising with clients, customers, and employees to confirm appointments and resolve scheduling conflicts.
- Documentation: Keeping detailed records of appointments, meetings, and cancellations. This may include preparing reports or summaries as needed.
- Problem Solving: Addressing scheduling conflicts or issues that may arise, finding alternative solutions to accommodate all parties involved.
Skills and Qualifications: - Excellent communication skills, both verbal and written.

Pay Details: $23.00 to $28.00 per hour
