bswift is seeking an Office Coordinator to work in our downtown Chicago office full-time. You will act as the receptionist, coordinator, and assist our Facilities Manager in maintaining the office. You will support Talent Acquisition and the Training team in onboarding and welcoming new hires. This role also has the opportunity to support projects for the People Team.
WHAT YOU'LL DO - Monitor and Maintain Office Supplies: Order and restock supplies as needed to ensure the office is well-equipped.
- Assist with Meeting Room Setup: Arrange furniture and set up meeting rooms for various company events and meetings.
- Coordinate with Vendors: Manage office repairs and maintenance services by coordinating with external vendors.
- Manage Office Security: Oversee access control and surveillance systems to maintain office security.
- Organize Office Events: Support the organization of office events and activities to foster a positive work environment.
- Handle Incoming Mail: Distribute incoming mail to the appropriate recipients.
- Support Talent Acquisition: Assist with onboarding tasks for new hires, including preparing workstations and welcome materials.
- Administrative Tasks: Perform light administrative tasks as needed.
- Daily Office Checks: Ensure the office premises are clean, safe, and well-maintained through daily checks.
- Assist with People Team Functions: Support People Team with tasks such as maintaining employee records, scheduling interviews, and coordinating training sessions.
- Employee Engagement: Help organize employee engagement activities and support initiatives that promote a positive company culture.
- In-Office Role: This position requires being physically present in the office.
QUALIFICATIONS YOU NEED TO SUCCEED - Education: High school diploma or equivalent; some college coursework preferred.
- Organizational Skills: Strong organizational skills and attention to detail.
- Physical Ability: Ability to lift and move office equipment and supplies as required.
- Computer Skills: Basic proficiency with Microsoft Office applications.
- Communication Skills: Excellent communication and interpersonal skills.
- Self-Motivation: Self-motivated and able to work independently.
- Adaptability: Ability to respond to changing priorities.
- Dependability: Strong diligence, dependability, and follow-through.
NICE TO HAVE - Experience with bswift: Familiarity with bswift systems.
- Prior Facilities Experience: Experience in managing office facilities.
- Receptionist Experience: Previous experience in a receptionist role.

Standard working hours are 8:00am-4:30pm CST
In the spirit of pay transparency, we are excited to share the base salary range for this position is $18-$23/hour, exclusive of fringe benefits or potential bonuses. If you are hired at bswift, your final base salary compensation will be determined based on factors such as geographic location, skills, education, and/or experience. In addition to those factors - we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is the full base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future & continued salary growth.
