Law Firm Intake Coordinator Compensation $20-$30/hour San Francisco family law firm is seeking an engaging, client-focuses Intake Coordinator to join their team. Our client's firm is known for high quality legal work, excellent client service, and a friendly and supportive workplace. The Intake Coordinator is the first point of contact for their clients. Excellent interpersonal and verbal communication skills and a friendly, professional demeanor are essential. Top candidates will have at least one year of law firm or related administrative support experience and demonstrated time-management and organizational skills.
Our client is looking for an individual who is dependable, a team player, and comfortable with working independently.
Responsibilities Conduct intake calls with prospective clients, screen. They have found that successful intake coordinators are professional, empathetic, and warm while also knowledgeable of the services the firm provides and answering questions that will help a potential client know if their firm is the right fit. This role is critical to show potential clients how great their firm is! Screen prospective clients using the firm's Intake Questionnaire; schedule appointments for intake questionnaire; manage scheduling for eight or more attorneys to meet with connect strategy meetings with potential clients by phone, video, and/or in person; follow up with clients to confirm appointments. Prepare fee agreements for new clients, following instructions provided by attorneys; send fee agreements to clients; route signed agreements to the accounting team to arrange for payments. Answer our multi-line phone system and accurately direct calls. Maintain client electronic files; follow firm procedures to properly file scanned documents sent by the firm's attorneys. Provide occasional administrative, scheduling, and personal assistance to one of the firm's partners.
Requirements Minimum 1 year of law firm or related administrative experience. More experienced candidates are welcome to apply. Quiet, professional environment in which to work remotely. Maintain reliable, high-speed internet service. Ability to handle confidential matters with sensitivity and discretion. Excellent interpersonal, verbal and written communication skills. Tech savvy and proficient in Microsoft Office, Adobe Acrobat, Dropbox, Zoom, RingCentral. Familiarity with Clio is a plus.
