Human Resources Coordinator

Entry-level HR Coordinator (hybrid) opening for an award-winning, educational design focused architecture firm located in the Crossroads district of KCMO. Our ideal candidate has a background in some basic HR tasks, but must possess a strong administrative skillset and enjoy doing administrative-type tasks. This new position will work with our HR Generalist and Senior Partner to continue to steward HR for our amazing firm!

The responsibility of this position is managing work efficiently. The position requires above average attention to details, concern for the exact correctness of work, and strong commitment to tasks completed on time. The position will generally be task oriented, requiring someone with a purposeful and organized approach to work.

Basic Qualifications

  • Bachelor’s degree in human resource management or related field required.
  • A minimum of 1 year of human resources or administrative experience strongly preferred.
  • Proficiency in Microsoft Office required, specifically Outlook, Excel, and Word.
  • Proficiency in HRIS systems such as Paylocity preferred.
  • Active participation in the community and industry associations (SHRM, etc.) preferred.
  • You have documentation that allows you to work in the United States of America.
  • You have met required background check standards.

Role Responsibilities

-A member of the Human Resources team within the People & Studio Experience pillar.

-Works directly with and reports to the Human Resources Generalist.

-Coordinates and assists in various Human Resource tasks by:

+Completing semi-monthly payroll for both office locations.

  • Reviewing timesheets for accuracy and compliance with company policies.
  • Updating payroll records including benefit deductions, garnishments, and tax forms.
  • Manually input information into HRIS and other data management platforms and review for accuracy.
  • Processing Health Saving Accounts (HSA) deposits.
  • Completing monthly premium statements for Colorado Paid Family Leave.
  • Processing discretionary bonuses and other special payments, including accompanying notification documents as needed.
  • Preparing and processing initial and final checks for employees entering and exiting the Firm, including calculating prorated payment amounts.
  • Coordinating the Firm’s payroll tax operations, as related to payroll, including W-2, 1095-C, and other tax forms.

+Coordinating recruitment and orientation efforts.

  • Verifying hiring approval and posting jobs on various platforms including LinkedIn and Indeed.
  • Maintaining candidate tracking spreadsheets in collaboration with the hiring team.
  • Completing phone screens for potential candidates and providing summaries to the hiring team.
  • Scheduling interviews, accommodating both internal and external scheduling needs.
  • Communicating with external recruiters as needed.
  • Administering pre-boarding paperwork to new hires via Paylocity.
  • Entering new hire data into various systems for initial setup.
  • Completing I-9 forms and E-Verification, verifying I-9 documentation, and maintaining I-9 files.
  • Coordinating orientation schedule for each hire.
  • Assisting in orientation meetings as needed.

+Assisting in benefits administration and enrollment activities.

  • Maintaining benefit enrollment systems and ensuring benefit changes are entered appropriately into Paylocity and applied to payroll.
  • Reconciling benefit statements and communicating with providers regarding discrepancies.
  • Assist employees with benefit claims.
  • Assist with annual benefits enrollment including document creation and system updates.
  • Compile data and complete requests for submittal to government agencies, non-discrimination testing, etc.

+Maintaining employee records.

  • Updating employee records throughout the employee life cycle including creating, scanning, and filing documents, and processing mail daily.
  • Ensuring correct data entry including upon hire, status changes, and termination.
  • Complying with record keeping requirements.
  • Maintaining and updating policies, procedures, handbooks, and job descriptions.
  • Using Microsoft Word to update various documents on an ongoing basis, often collaborating across pillars and communicating with various team members to gather appropriate information related to updates.

+Acting as a point of contact for general information requests from employees.

+Assisting with special projects as needed.

  • In support of the Firm’s strategic efforts, assist in various tasks as directed by the HR Generalist or Senior Partner.
  • Producing reports related to employment data, using Microsoft Excel.

+Serving as backup for the Human Resources Generalist.

+Performing other duties as assigned.
