Position Summary:
We are seeking a highly organized and proactive Administrative Assistant/Executive Assistant to support our team. The ideal candidate will play a crucial role in ensuring smooth administrative operations and providing executive support to senior management and project managers. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to senior management and project managers, including scheduling meetings, managing calendars, and handling correspondence.
  • Documentation: Prepare, review, and manage project documentation, including contracts, proposals, and reports.
  • Communication: Serve as a point of contact between internal teams, clients, subcontractors, and suppliers, ensuring effective communication and information flow.
  • Office Management: Maintain office organization and supplies, coordinate office activities, and ensure a professional and efficient work environment.
  • Record Keeping: Maintain accurate and up-to-date records of project files, client information, and other essential documents.
  • Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Travel Arrangements: Arrange travel accommodations and itineraries for senior management and project team members as needed.
  • Financial Support: Assist with basic financial tasks, such as processing invoices, expense reports, and budget tracking.
  • Project Assistance: Provide support for project-related tasks, including scheduling, resource allocation, and progress tracking.
  • Special Projects: Assist with special projects and initiatives as assigned by senior management.
Qualifications:

  • Experience in an administrative or executive assistant role, preferably in the construction industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to handle confidential information with discretion.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
Preferred Qualifications:

  • Experience in the construction or building materials industry.
  • Knowledge of construction terminology and processes.
  • Familiarity with accounting software
