Job Title : Event Assistant
Department : Events and Marketing
Reports To : Event Manager

Job Summary :
The Event Assistant provides support in planning, organizing, and executing events. This role involves administrative tasks, vendor coordination, on-site support, and ensuring events run smoothly. The ideal candidate is detail-oriented, organized, and has excellent communication skills.

Key Responsibilities :
  1. Event Planning & Coordination :

    • Assist in developing event concepts, timelines, and budgets.
    • Coordinate with vendors, venues, and suppliers to ensure timely delivery of goods and services.
    • Communicate event details and expectations to stakeholders.
  2. Administrative Support :

    • Maintain event documentation, including contracts, invoices, and schedules.
    • Update and manage event calendars and databases.
    • Prepare event materials such as name tags, brochures, and signage.
  3. On-Site Event Support :

    • Assist with event setup and breakdown.
    • Act as a point of contact for vendors and participants during events.
    • Troubleshoot issues and provide solutions to ensure events run smoothly.
  4. Customer Service :

    • Respond to inquiries from clients, attendees, and vendors promptly.
    • Ensure a positive experience for all event participants.
Qualifications :
  • High school diploma or equivalent; a degree in Event Management, Hospitality, or a related field is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office and event management software (e.g., Cvent, Eventbrite).
  • Ability to work under pressure and meet deadlines.
