About the role:
The Simon Wiesenthal Center is seeking a dedicated and detail-oriented Entry Level Administrative Assistant to join our team. This role will provide vital support to the executive suite, performing a variety of basic office tasks and assisting with occasional special projects. This position is an excellent opportunity for someone eager to learn and grow in a dynamic and professional environment.
This position will report to the Office of the CEO and is 100% on site in our Los Angeles office, Monday - Friday
Responsibilities:
- Provide general administrative support including scheduling, filing, and data entry.
- Manage and organize calendars using Microsoft Outlook.
- Prepare and edit documents using Microsoft Office (Word, Excel, PowerPoint).
- Handle confidential information with the utmost discretion and professionalism.
- Assist with special projects as needed, demonstrating flexibility and a proactive approach.
- Set up conference rooms for in-person and video meetings.
- Greet guests and visitors, ensuring a welcoming and professional environment.
- Coordinate food orders, ensuring dietary requirements are met.
- Respond to phone calls and emails, directing inquiries to the appropriate team members.
- Maintain office supplies and ensure the office environment is clean and organized.
- Serve as a point of contact for internal and external communications, fostering positive relationships.
- Occasionally pick up or deliver documents, packages, or other items using personal vehicle as needed.
- Perform other related duties as assigned to support the needs of the organization.
Experience and Skills:
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Previous administrative experience is a plus, but not required.
- Proficiency in both Windows and Mac operating systems.
- Strong skills in Microsoft Office suite, including Word, Excel, and PowerPoint.
- Experience with Zoom and Microsoft Teams video conferencing.
- Experience with Microsoft Outlook for email and calendar management.
- Excellent organizational skills and attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Demonstrated professionalism in all interactions.
- Proactive problem solver with a positive attitude.
- Strong verbal and written communication skills.
- Valid driver's license, clean driving record, and a reliable personal vehicle for occasional use.
- Ability to transport items safely and securely.
- Strong alignment with the goals and mission of the organization.
